Director of Finance

Position:  Full time – 35 hours per week
Reports to: Executive Director
Start date:  December 1, 2025

Summary

The Director of Finance is a key member of the YWCA Senior Leadership Team and is responsible for the overall financial health, accountability, and sustainability of YWCA St. Thomas-Elgin. This role oversees financial planning, budgeting, reporting, and compliance to ensure the organization meets all provincial, federal, and charitable regulatory requirements.

The Director provides strategic leadership on financial policies and practices, supervises finance and IT staff, and ensures accurate, timely, and transparent financial reporting for the Executive Director, Board of Directors, funders, and stakeholders. The Director of Finance also plays an active role in risk management, audits, benefits administration, and operational planning.

Key Responsibilities

Financial Leadership

  • Lead the development, management, and monitoring of organizational and program budgets.
  • Provide regular financial reports, forecasts, and analysis to the Executive Director, Program Directors, Board, and Finance Committee.
  • Ensure the integrity and accuracy of financial statements, payroll, accounts payable/receivable, and reconciliations.
  • Recommend and implement accounting policies, internal controls, and financial procedures.
  • Provide strategic financial counsel to the Executive Director and Board of Directors.
  • Oversee payroll, benefits administration, WSIB administration and periodic reviews of staff health benefits.

Reporting & Compliance

  • Ensure compliance with provincial, federal, and charitable reporting requirements, including CRA, pay equity, and funder guidelines.
  • Oversee annual financial audits, liaising with auditors, Board Finance Committee, and funders.
  • Prepare year-end statements, annual reports, and materials for the Annual General Meeting.
  • Oversee issuance of tax receipts, government submissions, and employee T4s.

Staff & Department Oversight

  • Supervise, mentor, and evaluate the Payroll Administrator/ Accounting Assistant and IT/System Administrator.
  • Conduct annual performance reviews, provide training, and support professional development.

Risk Management & Operations

  • Monitor financial and operational risks, provide early warning of potential issues, and recommend corrective actions.
  • Maintain and review insurance coverage.
  • Oversee IT infrastructure to ensure alignment with organizational objectives.
  • Act as a signing authority on behalf of the organization.

Stakeholder Engagement

  • Maintain effective relationships with funders, auditors, government bodies, and key partners.
  • Collaborate with Executive Director and program Directors to support accurate financial tracking and reporting. Complete budget templates, cashflows and projections.
  • Contribute as an active member of the Senior Management Team in advancing YWCA’s mission and goals.

Requirements

  • Post-secondary degree or diploma in Accounting, Finance, or Business Administration (CPA designation an asset).
  • Minimum 5 years of progressive leadership experience in financial management, preferably in the non-profit sector.
  • Strong knowledge of charitable sector regulations, reporting requirements, and funder accountability.
  • Demonstrated experience managing multiple budgets, programs, and funding streams.
  • Proficiency with Sage 50, Microsoft Office Suite, and advanced Excel skills.
  • Knowledge of Digibot and IT systems oversight an asset.
  • Strong analytical, problem-solving, and decision-making skills.
  • Exceptional attention to detail, confidentiality, and integrity.
  • Excellent written and verbal communication skills.
  • Proven ability to build collaborative relationships and work effectively across teams.

Working Conditions

  • Full-time position with occasional evening or weekend hours required.
  • Some local travel may be required.
  • Overtime during year-end and audit periods may be required.
  • Manual dexterity required for computer use and financial data entry.
  • May occasionally handle cash.
